IHA OFFICER RESPONSIBILITIES

President

• Preside over regular monthly meetings, and board meetings as needed, ensuring IHA bylaws and stand-
ing rules are followed.

• Establish agendas.
• Establish budget at beginning of new year, present to membership. Once budget is finalized, monitor
and oversee expenditures.
• Sign checks.
• Resolve problems or issues as needed.
• Write ‘President’s Message’ for each newsletter.
• Proof newsletter and minutes drafts and provide edits or corrections.
• Ensure officers are fulfilling duties.
• Appoint committee chairpersons as needed and oversee committees. Establish committees as needed.
• Ensure financial books are audited annually and address and resolve audit concerns or problems.
• Oversee election of officers and ensure proper IHA bylaws and standing rules are followed.


Vice President — Programs

• Write articles for the newsletter for monthly paint-ins and annual seminars.
• Provide information orally at each meeting about programs and paint-ins.
• Preside over monthly meetings when President is absent.
• Delegate responsibilities as necessary.
• Sign checks as necessary.

Monthly Paint-Ins

• Encourage members to submit projects to be voted on for monthly paint-ins. Voting is held each Janu-
ary.

• Set up voting and selection method.
• Schedule monthly paint-ins with artists selected and assist with sign-ups, room arrangement and other
logistics.
• Ensure artists understand sign-up process and paint-in responsibilities.
• Provide table coverings and water buckets.
 

Annual Seminars
• Assess members to determine presentation of national artists to be voted on two years in advance.
• Communicate with national artists for prices, availability, and finalize contract between IHA and
national artist.
• Locate and reserve cost-effective location for seminar, meals and lodging for traveling artists.
• Provide information regarding surfaces, paint, and brushes as required by national artist.
• Determine member seminar costs based on national artist fee, lodging and travel costs and IHA bylaws.
• Receive and track registration and payment and coordinate with Treasurer for deposit of monies.
• Arrange for transportation for artist to/from airport, lodging and seminar location.
• Provide for appreciation gift.


Newsletter Editor

• Receive information for newsletter.
• Compile newsletter, currently using Publisher software.
• Maintain member email list and email newsletter.
• Receive notifications from members to send out to all members via email ‘blast.’


Membership Chair

• Attend meetings and provide sign-in sheet. Sign-in sheet is then provided to Secretary for minutes.
• Maintain binder of current membership forms, dues paid and those who did not renew.
• Maintain electronic roster of members of IHA via Excel spreadsheet. Provide members electronic copies
of the roster periodically.
• Write IHA newsletter articles regarding membership, new members, and dues deadline.
• Collect dues annually for all members except charter members.
• Maintain new member binders with current information and giveaways.


Secretary

• Attend regular and board meetings and take minutes of meeting to include those present, all motions and
outcome, general information according to meeting minutes standards.
• Provide draft typed minutes to president for review and edits.
• Provide completed minutes to newsletter editor for publish.
• Have all minutes signed by self and president.
• Correct minutes as needed/directed according to meeting action.
• Maintain binder or electronic record of minutes.

• Receive correspondence for the chapter and read at meetings and/or make president aware of corre-
spondence.

• Plan for substitute if absent for regular meeting.
